Full-Time Experienced Bookkeeper Position Available at the PDA

This is a full charge bookkeeping position. Five years of bookkeeping experience a must. Experience with fund accounting and SDS software a plus.

Responsibilities Include:

  • Preparing Budgets for State and Federal Education Grants as well as local funds
  • Submitting Monthly Expenditure reports to the State Board of Education
  • Preparing and filing other financial reports for State and Federal Grants and Local Budgets
  • Contact Person for Pension systems (Teacher Retirement System and IMRF) responsible for wage reporting
  • Processing Payroll – includes calculating time sheets and all payroll tax reporting (includes quarterly and annual tax reporting)
  • Accounts Payable & Receivables
  • Preparing contracts for consultants/presenters both on site and off site
  • Recording of all cash receipts including credit card processing
  • Preparing and making bank deposits
  • Invoicing for unpaid workshop registrations, off site training, college & cohort programs
  • Assist with workshop registration, phone and other general secretarial support, as needed
  • Prepare for and oversee OAG (Office of Auditor General) financial audit at the end of each fiscal year
  • Bank Reconciliation and monthly financial reports to be reviewed by Executive Director

This position is responsible for providing high level administrative assistant and secretarial support. Responsibilities include: Serving as Administrative Assistant to the Executive Director, maintain all paperwork and scheduling of HR functions; scheduling, agenda, and minute taking for meetings of the Board of Directors, managing paperwork and scheduling of selected state and regional programs, keeping official records to meet state, federal and local requirements, light bookkeeping, and general secretarial and workshop setup tasks as needed.

*Minimum 5 years of high level secretarial experience required. Previous school secretarial experience a plus.

This is a full-time, 12 month position with benefits, including IMRF retirement plan and health insurance.
